How IntakeGo works, step by step
- A lead arrives. Someone submits a form, replies to an ad, or calls and does not get through.
- Within 60 seconds they get a text. Not an auto-reply. A message that references what they actually asked about, in the business's own voice.
- A conversation happens. The lead asks whether the business covers their area, roughly what something costs, whether their situation is handled, how soon someone can come out. Those get answered from what the business told us.
- Intake gets collected. Address, the specific problem, timeline, budget range, insurance, whichever fields matter, delivered as structured data rather than a wall of text.
- The lead is qualified. Out of area, out of scope, wrong budget or wrong timeline gets handled politely and never reaches the calendar.
- The appointment is booked. Real availability, picked in the text thread, written to the calendar, with confirmations and reminders.
- Non-responders get followed up. Most people ignore a first message. Follow-up runs over the following days at sensible hours and stops the moment someone replies or asks it to.

Compliance and consent
Business text messaging in the United States is regulated and penalties are assessed per message. Two things are non-negotiable.
Carrier registration. Every business sending automated text messages must be registered with the mobile carriers. Unregistered traffic is blocked outright. Registration is handled as part of setup and takes 10 to 15 business days.
Consent. Messages only go to people who contacted the business first. Purchased lists, scraped contacts and lists collected for an unrelated purpose are never loaded, regardless of who asks. Every conversation carries opt-out language and opt-outs are honored immediately and permanently.

What kinds of businesses is IntakeGo for?
Appointment-based local service businesses where the owner makes the buying decision and a lost lead is worth hundreds or thousands of dollars. Home services, trades, contractors, clinics and professional practices are typical. The business needs existing lead flow, because IntakeGo converts leads rather than generating them.
Does IntakeGo generate leads?
No. IntakeGo does not run ads, buy lists, or do outbound prospecting. It only responds to people who contacted the business first. If a business gets very few leads, its problem is marketing and IntakeGo will not solve it.
What calendars does IntakeGo work with?
Google Calendar including Google Workspace, Microsoft calendars including Office 365, Outlook.com, Live and Hotmail, Apple iCloud Calendar, and Calendly. Zoom and Microsoft Teams links are generated automatically for video appointments. Sync is two-way, so existing events block availability and new bookings appear in the calendar the team already uses. Desktop-only Outlook and on-premise Exchange do not sync, because the calendar has to live in the cloud.
What lead sources can IntakeGo connect to?
Website contact and quote forms, Facebook and Instagram lead ads, Google Ads and Google Local Services Ads, missed calls which trigger an immediate text back, landing pages, any form that can send a webhook, and manual entry for word-of-mouth leads.
How long does setup take?
The build takes about two weeks. Week one is intake, connecting the calendar and lead sources, and submitting carrier registration for business text messaging. Week two is building and testing. Going live also depends on that carrier registration, which is submitted on day one, takes 10 to 15 business days, and is outside anyone's control. The system goes live as soon as it clears, starting on a small share of leads before moving to full volume.
Do I have to change my phone number?
No. An existing business number can be used, or a new local number can be provisioned if the business prefers to keep the two separate.
Will customers know they are talking to AI?
IntakeGo does not pretend to be a person. If someone asks whether they are talking to a human, they are told the truth and offered one.
What happens if the system cannot handle a conversation?
It hands off to a person. Unhappy customers, legal questions, unusual jobs, and anyone who asks for a human are routed to the client's team immediately with the full message thread attached, so nobody has to repeat themselves.
